Overview Overview Under the direction of the Director Sales & Marketing performs a wide variety of clerical functions and administrative tasks to support the Sales, Revenue and Marketing teams. The Sales and Marketing Coordinator will play a key role in the sales processes by supporting the sales, catering managers, marketing manager and Directors.
Working as part of a team, The Sales and Marketing Coordinator will do everything to provide a memorable experience for our guests.
Working closely with each Sales, Catering, marketing, and revenue providing administrative support daily.
Will be responsible for directing inquiries to the correct the managers, inputting information into the sales management system, as well as supporting the marketing efforts of the properties.
In addition, when necessary, you will execute social media content strategy allowing your creative side to shine together with F&B marketing. Should assist in selling guest rooms, catering services and banquet facilities as directed by the Director of Sales.
Also provide high-level administrative support by conducting research, preparing statistical reports, collecting, and processing sensitive data, resolving guest issues, and also performing clerical functions. Responsibilities Assist Director and Managers in day-to-day departmental operations. Create and maintain purchase requisitions, proformas, budget updates and accounting follow-up as needed per event. Answer the telephone and respond to caller inquiries in a pleasant manner.
Answers and directs telephone calls and visitors to appropriate personnel within department and property. Write and negotiate sales and marketing contracts according to Corporate procedures. Delphi Administration - Primary responsibility for all input and reporting functions for Delphi. Ensure receipt of payment from client by following Corporate procedures. Compose and type routine correspondence. Communicate with various internal operating departments. Maintain calendar for the Department Head, regularly arranging for meetings, conferences, and appointments.
Arrange hotel and travel accommodation. Inventory supplies, and order as necessary following all established procedures. Answer client / bookers questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants etc.) Support updates in the sales and marketing strategy when needed. Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Interaction with client regarding leads, hotel needs and client travel. Generate group and/or corporate leads through internet prospecting, networking, and telemarketing. Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, entering rooming lists, banquet event orders). Coordinate and participate in Beo meetings. Be in constant communication with all Operational departments to gather information, keep the team informed of what is coming, what is changing. Generating reports, preparing proposals, collections details, coordinating with clients & suppliers. Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Responsible for coordinating internally with the sales & marketing team. Gather materials and assemble information packages (e.g., brochures, promotional materials, sales demo kit, welcome kit, souvenir etc.). Generate group and/or corporate leads through internet prospecting, networking, and telemarketing. Interaction with client regarding leads, hotel needs and client travel. Meets with clients in the absence of the Director of Sales or Sales Managers to convey details of the sale effectively and professionally to the client. Perform hotel site tours with potential clients. Monitor, screen, respond to and distribute incoming communications. Design, upload, extract and maintain customer databases. Create and manage Company and Travel Agent profiles on the property management system. Should know the process of merging profiles. Conduct research and collect data to prepare reports and documents. Utilizes efficient sales strategy for the maximization of hotel revenue. Print Sales reports when requested for each sales manager and submit them to the Director of Sales. Print Sales manager productivity reports when requested for each sales manager and submit them to the Director of Sales. Coordinates necessary arrangements with vendors relating to sales. Establishes strong relationships with vendors to ensure maximization of hotel revenue. Ensures all documents produced by the Sales Department (i.e., BEOs, contracts, rooming lists, proposals) are completed accurately and on time. Respond to complaints from customers and give after-sales support when requested. Assist with social media content strategy for Facebook, Instagram, and LinkedIn Track and report the overall performance of various campaigns and social media platforms.
Provide recommendations for ongoing adjustments. Prepare and plan for influencer partnerships, working with internal teams to ensure a flawless and memorable stay. Ensure the adequacy of sales-related equipment or material is always available. Always promote positive public/team member relations. it does not encompass all the tasks that may be assigned. Qualifications EXPERIENCE, EDUCATION, AND CERTIFICATIONS 4+ years experience in hospitality management, including 2 years in reservations management.
Luxury hotel experience preferred. Degree/diploma in Hospitality Management, or an equivalent combination of education and experience that provides knowledge, skills, and ability sufficient to successfully perform the duties of the position. Working knowledge and grasp of hotel distribution systems (GDS, internet, etc.). Extensive knowledge of Property Management Systems;
Micros Opera, Delphi preferred. SKILLS Presentation of a professional image to guests, clients, and potential function coordinators. Composure during stressful events. Possession of a take charge attitude tempered with diplomacy. Ability to work independently while ensuring that managers and/or clients possess the pertinent information for the execution of a successful event. Must possess strong communication and listening skills, excellent reading and writing. Comprehend professional language, either written or spoken, to communicate. Ability to effectively present information in one-on-one and small group situations to other employees of the organization. High energy with effective and influential people skills.
